Privacy Policy – OMIND CREATIVES – Exhibition Visitors
The purpose of this Policy is to inform you in detail how and for what purpose we use your personal in connection with your participation in the exhibitions organised by our company, which you intend to attend, as well as the relevant rights and options you have. Our company takes all necessary measures to guarantee the protection and security of your personal data.
1. WHO IS RESPONSIBLE FOR YOUR PERSONAL DATA?
The company “Dimitriadis Th. & CO. P.C.”, trading as “OMIND CREATIVES” (hereinafter the “Company”) shall be the main controller of your personal data under the General Data Protection Regulation (EU) 2016/679, entered into force on 25.05.2018 (GDPR), the national legislation (Law 4624/2019) and the relevant instructions of the Data Protection Authority (DPA), as applicable. In addition, we may disclose your personal data for the purposes described below, to the extent permitted both by law and by your consent, to other associated third parties (businesses or freelancers), in connection to services, including but not limited to, photographers and video production companies, security companies, graphic design and printing services, advertising services, etc. The company may also disclose personal data for the purposes described below to its subsidiaries and affiliates. The Company retains control over and remains fully responsible for your personal data and therefore implements appropriate safeguards, as required by applicable law, to ensure the integrity and security of your personal data.
2. WHAT PERSONAL DATA DO WE COLLECT?
Unless otherwise agreed with you, we shall only collect personal data required for your registration on the relevant form posted on our exhibition websites or which you will be requested to fill in and which (data) is related exclusively and proportionally to your entry and visit to one of the exhibitions organised by our Company. This includes any information you provide to us directly through the form you fill out and any information obtained when you get in touch with us. This includes personal information such as name, surname, landline and mobile phone number, professional status and the company you work for, user identification data using relevant technologies such as cookies and/or Internet Protocol (IP) address tracking, as well as your image that may be collected during your visit to one of our exhibitions.
3. FOR WHAT PURPOSES DO WE USE YOUR PERSONAL DATA?
We shall process your personal data as required in relation to the purpose of the processing and in particular for the following purposes (hereinafter “Permitted Purposes”): Provide an information service (via email and SMS and/or messages in other applications, including but not limited to the Viber app) for future events, exhibitions and conferences with the same or similar subject and type as the exhibition you visited. Promotions and all kinds of professional updates/surveys via email and SMS and/or messages in other applications, including but not limited to the Viber app. We will not use your personal data to make automated decisions that affect you or for profiling, except as described above.
4. HOW DO WE PROTECT YOUR PERSONAL DATA?
We have applied physical, electronic and procedural safeguards of advanced technology in accordance with technical and legal requirements to protect personal data from unauthorised access or intrusion. Such safeguards include the implementation of specific technologies and procedures designed to protect your privacy, such as secure servers, firewalls and SSL encryption, where necessary. We shall always strictly comply with the applicable legal and regulatory provisions on the confidentiality and security of personal data.
5. WITH WHOM DO WE SHARE PERSONAL DATA?
When you use our website and provide us with your data described above, the Company may share this information with external partners only to the extent necessary to complete your registration and fulfil requests regarding the services provided by us or to suggest ways to improve your overall experience when providing such services. These external partners may include record management platforms, photography and video production companies, digital services and technology (IT) companies, voice over IP (VoIP) and instant messaging (IM) software applications. The above list of external partners is merely illustrative, not exhaustive, since the Company may and reserves the right to share this data at its absolute discretion with any third party it deems necessary, but exclusively within the framework of serving the purpose for which it was collected.
The Company retains control over and remains fully responsible for your personal data and shall implement appropriate safeguards, as required by applicable law, to ensure the integrity and security of your personal data during the employment of the aforementioned service providers.
The Company may also share your personal data with public or governmental bodies, such as regulatory or law enforcement authorities, where we are required to do so by law or regulation or at their request, if permitted by law and required to comply with a legal obligation or to substantiate, exercise, defend or respond to legal claims.
In all other cases, we shall disclose your personal data only at your request or with your consent, where we are required to do so under applicable law or relevant regulation or pursuant to a judicial or official request, or where we suspect fraudulent or criminal activity.
6. YOUR RIGHTS REGARDING DATA PROTECTION
Subject to the conditions provided for by the General Data Protection Regulation, you may request access, rectification, erasure or restriction of the processing of your personal data. You can also object to the processing or request data portability. In particular, you have the right to request a copy of your personal data . If you make such request repeatedly, we may charge you a fee for the service. You can consult Articles 15 to 22 of the EU General Data Protection Regulation for details on your data protection rights. For any of the above requests, please send a description of the relevant personal data, indicating your name, the email address you have registered with and your mobile phone number as well as the exhibition and the date of your visit to the contact details reported below. We may need additional proof of identity to protect your personal data from unauthorised access. We shall consider your request carefully and may discuss with you how best to meet it. If your consent to the processing of your personal data has been requested for a specific processing, you may withdraw your consent at any time, valid for any future date, i.e. the withdrawal of consent does not affect the lawfulness of the processing based on that consent prior to its withdrawal. In case of withdrawal of consent, we shall be able to further process the personal data only if there is another legal basis for the processing. 7. FOR HOW LONG DO WE STORE PERSONAL DATA?
Your personal data shall be deleted when they is no longer reasonably necessary for the Permitted Purposes, i.e. for as long as our Company carries out a relevant commercial activity related to the subject of the exhibition you have visited. In any case, we shall retain your personal data for about 10 years.
8. UPDATE OF THE DATA PROTECTION POLICY
This protection policy was last updated in December 2024. We reserve the right to update and modify this Privacy Policy from time to time to reflect any changes in the way we use your personal data or any changing legal requirements. Any modified information in the Privacy Policy becomes effective starting from the date it is posted on our website or when it is otherwise made available to you.
